Weekly System for Actions and Reflections

A weekly framework for staying organized, accountable, and reflective as a leader in tech.

When you work in technology, staying organized and maintaining clear follow-through matters. You need a system that helps you keep track of priorities, stay on top of commitments, and create space to reflect.

A reliable system also makes it easier to walk into meetings prepared, follow up consistently, and ensure important tasks do not get overlooked.

Over the years, I’ve built a simple approach that has worked incredibly well for me. It has helped me stay organized, execute consistently, and grow as a leader.

I call it AIR:

A = Actions
I = Insights
R = Reflections

Every Monday, I start with a simple document using this structure:

I don’t use Notion. I prefer tools that work for me instead of forcing me into a system that feels overly complicated. I use Bear Notes because its markdown-based structure is simple, flexible, and easy to organize. Nothing fancy. It just works.

Every Monday, I create this note to set the tone for the week. As the days go by, I fill it with important learnings, pending tasks, stuck items, and things that need follow-up. If I don’t complete an action item that week, I move it into the next one.

At the end of the week, I reflect on what went well, what didn’t, and where I can improve. That reflection becomes the starting point for the following week.

This simple practice has helped me grow as a leader, stay accountable, and avoid missing important tasks or follow-ups.

At the end of each year, I archive all of my weekly notes and tag them by year. This makes it easy to go back, search across past notes, and pull up information whenever I need it.

I know this sounds like a simple task, but you’d be surprised how many people get stuck when priorities shift or forget to follow up on an important task, especially when things get busy.

This system, while simple, gives me a consistent weekly structure that helps me stay focused and succeed throughout the week.
